This article explains how to transfer sales onto a debtor account and how to view debtor accounts in WaiterMate.
Although all accounts should ideally be closed at the end of each trading day, the debtor module allows sales to be stored for later payment. To use this feature, a debtor account must first be created. Once created sales can be attributed to the account and easily managed within WaiterMate.
How to transfer sales onto a debtor
Once the debtor has been created, in WaiterMate, sales can be transferred onto it. This process ensures that the transaction is recorded and relflected in the sales report for the day. Here's how:
- Process the customer’s order as usual.
- Access the Payment screen by selecting the 'Pay' icon in the bottom right of the screen.
- From the list of payment types on the left, choose 'Customer Account'
- Once selected, all debtors will be displayed. Select the appropriate Debtor from the list. If needed use the search field to locate a debtor by their account name, customer name, or date.
- Select the debtor you wish to transfer the sale to
- If you selected the ‘Invoice requires note’ box, the item note screen will appear. Type your note and select OK.
How to view debtors in WaiterMate
- To view the debtors, select the debtor tab from the top of the screen. The debtor can now be seen in orange indicating an outstanding balance – this means the debtor is in debit
- You can view the individual sales by selecting the debtor, then the sale and clicking on ‘View Order Details’. You also have the option to print statements.
