Doshii - Open Table Integration

Summary 

This integration, powered by Doshii, enables two-way syncing between the OpenTable reservation system and WaiterMate. This integration allows real-time syncing of reservations, order data, table status, and booking notes. This helps venues streamline service and improve guest experiences.

This guide outlines how to connect the WaterMate POS to OpenTable, manage bookings and table activity, resolve unallocated reservations, and ensure the WaiterMate system meets all setup requirements

Connecting WaiterMate to Opentable

Before setting up the integration, please ensure your WaiterMate system meets all the necessary requirements. The full list of requirements [HERE]

Once all requirements are met, the integration can be completed in just a few quick steps:  

  1. From the OpenTable Marketplace, select ORDERMATE and follow the prompts. 
  2. An email will be sent from Doshii:
    • For new users, sign up and follow the prompts. 
    • For existing users, sign in and continue.

Seating a booking or a walk-in


Complete the seating process for either a booking or walk-in using the OpenTable app, following the standard procedure used by the venue (Doshii Help Guide). 

Once a reservation is seated in OpenTable, the corresponding table in WaiterMate will automatically change to an open state. This is indicated by the table icon turning green, consistent with all open tables. Staff can then use the table as they would any other open table.

Note: All guests must be seated in OpenTable. Tables that are opened in WaiterMate will not create a walk-in reservation in OpenTable and data will not sync as expected. 

 

Transferring a booking to a new table

If a customer moves to a different table within the venue, the transfer must be completed in OpenTable following the standard process (see Doshii Help Guide for reference).

Once the table is transferred in Open Table, OrderMate POS will automatically update, and the new table will appear green, indicating it is open. 

Important: Do not transfer a table within WaiterMate. This action will not update the table in the OpenTable app and will result in the two systems becoming out of sync. 

 

Auto Join Tables

It is possible for a single booking made in OpenTable to require multiple tables to be joined together. When the reservation arrives, all allocated tables will automatically be joined.

Note: WaiterMate will automatically arrange the tables when they are auto-joined; however, manual adjustment of the table positioning may be necessary after the table is closed. This can be done from the main tables screen using the Rearrange Tables button 

Closing a Table

To complete a reservation while the integration is active, simply process the payment in OrderMate following the usual procedure. This will update the table status in OpenTable to Paid. After that, the reservation can be marked as finished at the user's convenience. 

Match an unallocated booking

If a reservation is marked as 'Seated' in OpenTable but the table number does not exist in WaiterMate, it will appear under the 'Unallocated' tab located at the bottom of the sales screen. 

To manually allocate a reservation:

  1. In the 'unallocated' tab, Tap the green 'Allocate' icon. 
  2. The table plan will appear, allowing selection of the correct table for assignment.

To avoid unallocated bookings: 

  • Ensure table numbers are unique across all areas. 
  • Confirm that table names match exactly in both OpenTable and WaiterMate
  • Do not open the table manually in WaiterMate before seating it in Open Table

Requirements

  • Table names in the POS must exactly match those in OpenTable. Mismatches must be corrected before proceeding with the integration. 
  • All table names must be unique across all areas.
  • Use a numeric prefix system to identify areas such as a table in Area 1 becomes 101; in Area 2, it becomes 201. Naming formats like inside-1 or outside-1 are not supported. 
  • OpenTable supports a maximum of four numeric characters for table names. 
  • The POS must be running OrderMate version 4.0.5b or higher. Submit a support request to OrderMate if an update is required. 
  • OpenTable Core or Pro is required for this integration. Contact the OpenTable account manager is using another plan. 
  • If using Tyro P@T, consult with the OpenTable account manager before enabling the integration. 
  • Table ordering apps are not supported. If table ordering is active in areas using OpenTable, this integration is not suitable.
